Looking Up a Contact

  1. When NEON is open, start typing the name in the Search box on the top left of the page. Choose the name from the drop down

Side Dashboard Features:

  • About Us (all details of the contact including, name, address, statuses, imported applications, dog information etc…)
  • Timeline (the progress of the contact)
  • Relationships (any relationships to other contacts in the system)
  • Event Registrations (recording of Companion Paws assessments and scheduled Visits with Certified Visiting Therapy Dogs
  • Case Managements (this is for the intake and follow up counsellor process)
  • Memberships (for Certified Members, Non-Certified Adoptions and Certified Adoptions)
  • Notes (documents, uploads and any Notes from the team)
  • Sent Emails (Can review all correspondence with the contact. Neon CRM email is for automated emails and External emails are emails between contact and team members)

Add a New Contact Manually without Import:

  1. At the top right of the page, click on the blue circle button with a plus sign in it.
  2. Click New Individual from the drop down
  3. Add First and Last Name
  4. Click Create Account
  5. On the top of the page in the search box, type in the name of the Contact
  6. Click on the name of the contact you want to open the Contact
  7. On the left hand side, click About
  8. On the right hand side, click Edit button
  9. Complete all information correctly
  10. Click Save

 

Adding a Contact of a First Temperament Assessment Registrant Manually without Import:

  1. Add contact and all their contact details (click the plus sign at top right, click new individual, add first name and last name and click Create Account).
  2. Open up the contact using the search bar. Click Edit and add the rest of their contact details including email, phone number and full address.
  3. Under Account Details – Add TA Inquiry and their designation (Personal, Visiting and/or Assisted)
  4. Under Dog Information – Add the dog’s breed, age, designation (personal, visiting and/or assisted), click yes to Aggression, Therapy Dog Meaning 1 and 2, Waiver 1 and 2.
  5. Under Notes – upload the temperament assessment document (save it to your desktop and then upload to Notes with the title and Note text “Temperament Assessment”)

 

Add a Volunteer Manually without Import:

  1. Add contact and all their contact details (click the plus sign at top right, click new individual, add first name and last name and click Create Account).
  2. Open up the contact using the search bar. Click Edit and add the rest of their contact details including email, phone number and full address.
  3. Under Account Details – Add Volunteer
  4. Under Volunteer Information – Add all the data from the Volunteer form including all selected skills
  5. Under Notes – upload the Volunteer form (save it to your desktop and then upload to Notes with the title and Note text “Volunteer Form”)
  6. Click Save

 

Adding Visiting Events

  1. Click Events
  2. Click New Event
  3. Name: Name of Event (The facility, Conference, Place of Visit etc…)
  4. Summary: what the event is for (de-stressing, visit, special event etc…)
  5. Event Description: click the link button, then click upload. Upload the visiting request form. You can save the email with the form on to your desktop and then upload to NEON.
  6. Start Date: The date they requested the visit.
  7. End Date: The date they requested the visit.
  8. Start time: The time they request to start. If there is no time, leave blank.
  9. Event Location: Add the City
  10. Click Submit

 

Adding a Registrant to an Event

  1. Click on the name of the contact you want to open the Contact
  2. On the left hand side, click Events Registration
  3. On the right hand side, click New Event Registration
  4. Choose the correct Event
  5. Click Create Registration
  6. Add Date and Time (Registrant is Attendee)
  7. Click Continue to Payment ($0)
  8. Click Submit


Adding Events and Slot Times for Online Scheduling

  1. Click Events
  2. Click New Event
  3. Name: Name of Event (ie: Toronto Assessments)
  4. Checkbox “Publish Event Page”
  5. Checkbox “Enable Event Registration Form”
  6. Event Description “Companion Paws Therapy Dog Assessments”
  7. Start Date: The date of the scheduled Assessment
  8. End Date: The date of the scheduled Assessment
  9. Start time: Leave blank.
  10. Under Financial Settings, checkbox “Multiple ticket prices, one attendee per ticket”
  11. Under Financial Settings Attendee # per Registration “choose Exactly and add 1)
  12. Event Location: The city location of the scheduled assessment (ie: Toronto)
  13. Front End Settings: Click Yes and checkbox Public
  14. Click Submit
  15. Scroll down to Ticket Prices
  16. Click “New Price”
  17. Event Session ”Event Admission”
  18. Name “time slot” (ie 11:00am – 11:15am)
  19. Maximum number of tickets available: 1
  20. Fee: $0
  21. Advantage Amount: $0
  22. Checkbox “This price is available to online registration”
  23. Repeat “New Price”, Event Admission, Next Time slot (11:15am – 11:30am)
  24. Repeat for as many time slots as needed (All slot times can be seen under “Ticket Prices”
  25. Click Submit

 

Online Scheduling for Certified Members (Renewing and Re-Evaluating)

  1. Auto email from Neon with renewal link https://thelifelinecanadafoundation.app.neoncrm.com/np/clients/thelifelinecanadafoundation/membershipRenew.jsp?secureIdCustomer=1&
  2. Account Holder Login (if they don’t know their password, they can click forgot password and use the same email address as their Companion Paws account.
  3. Click associated Membership (Adoption or Certify Your Own Dog Program)
  4. Complete Renewal Payment
  5. Once renewal payment has been completed, click the arrow on the top right next to initials
  6. Click Dashboard
  7. Click Upcoming Events
  8. Complete test registration with preferred choice of available dates and times by Location
  9. Notification to Registrant of confirmed date and time
  10. Notification to Certified Email
  11. Calendar reminder attached to registrant’s completion email

Online Scheduling for Testing Registrants (TAs and Evaluations) Non-Certified

  1. Auto email from neon with login link https://thelifelinecanadafoundation.app.neoncrm.com/login
  2. Account Holder Login (if they don’t know their password, they can click forgot password and use the same email address as their Companion Paws account.
  3. Once Logged in, click the arrow on the top right next to initials
  4. Click Dashboard
  5. Click Upcoming Events
  6. Complete registration with preferred choice of date and time slot by Location
  7. Notification to Registrant of confirmed date and time
  8. Notification to Scheduling Email
  9. Calendar reminder attached to registrant’s completion email

Memberships

Click Dashboard drop down and click on Memberships

This is our Membership Dashboard page of All our memberships.

  • Adoption Certified
  • Adoption Non Certified
  • Non Adoption Certified

At the bottom of the Membership Dashboard page, you will see the box called Membership Stats.

Under Current Members, you will find all the Members in our system

Click on the highlighted number under Current Members to open the list of Members in one of our three categories.

 

Add a New Membership  (Adoption Certified, Adoption Non Certified, Non Adoption Certified)

  1. On the top of the page in the search box, type in the name of the Contact
  2. Click on the name of the contact you want to open
  3. On the left hand side list, click on Memberships
  4. On the right hand side, click the New Membership button
  5. Click the correct Membership Term
  6. Click the correct Membership Level
  7. Put 0$ as Term Fee
  8. Add start and end date (end date is the next renewal month. Either May 31st or November 30th)
  9. Click Add Membership
  10. Click Submit

 

Remove a Membership (e.g., when Certified handler advises they do not wish to continue certification, such as when a dog no longer able to due to health)

  1. in Neon account add status Cancelled under type.
  2. Add in Notes why cancelling
  3. Click Membership (left of client profile)
  4. Click the active membership link
  5. Click edit
  6. Change “Time End Date” to today’s date
  7. Click Save Changes

 

Relationships

All contacts must be in the system to be able to create Relationships.

  1. On the top of the page in the search box, type in the name of the Contact
  2. Click on the name of the contact you want to open
  3. On the left hand side list, click on Relationships
  4. On the right hand side, click the New Relationship button
  5. Click To Individual
  6. Type name of individual
  7. Add Roles of both contacts
  8. Add any notes
  9. Click Create Relationship

 

Add Notes, Upload Documents and add Pictures to a Contact

  1. On the top of the page in the search box, type in the name of the Contact
  2. Click on the name of the contact you want, to open the Contact
  3. On the left hand side list, click on Notes
  4. On the right hand side, click the New Note button
  5. Add the name of the document that you are uploading as the Title.
  6. Add a note of what the documents are in the Note Text box
  7. Under File Upload, Click to Upload documents and pictures (repeat for all separate files)
  8. Click Save

 

Add Results of Assessment and Evaluation

  1. Click on the name of the contact you want to open the Contact
  2. On the left hand side, click About
  3. On the right hand side, click Edit button
  4. Under Account Details. Click Type arrow.
  5. Choose the correct results.
  6. Click Save

NOTE: Do not remove old “Types” as keeping those there demonstrates the client’s progress (e.g., 1st TA, versus 2nd TA, etc).

 

Renewal

  1. Login
  2. Choose My Membership from the drop down menu
  3. Choose Renew Now
  4. Choose Non Adoption Certified or Adoption Certified
  5. Make the payment
  6. Automatically redirected to upcoming events or chooses Re-Evaluation Registration from the drop down menu
  7. Registrant chooses what date they are attending the Re-Evaluation from available dates
  8. Choose the event and register attendance
  9. A renewal payment receipt is sent to the registrant
  10. An automatic email is sent to confirm re-evaluation date has been scheduled (both to the registrant and ourselves)
  11. One automatic email reminder of the scheduled re-evaluation date is sent

 

Online Store

  1. Login
  2. Choose Companion Paws Program
  3. Choose the program for their Province
  4. Make the payment
  5. A purchase receipt is sent to the registrant
  6. An automatic email is sent to ourselves about purchase
  7. Admin sends online skills training course access to registrant

 

How to Import Adoption Applications, Volunteer Forms, Visiting Requests, and Temperament Assessments:

  1. Click ‘Tools’
  2. Choose ‘Import Manager’
  3. Click ‘New Import’ (ride side at top)
  4. Add Title (Volunteer(s), Personal Adoption Application(s), Assisted Adoption Application(s), Temperament Assessment(s), or Visiting Request(s)) – Override date as will populate once imported.
  5. Click ‘No’ to Spreadsheet Containing Account ID Column
  6. Click Save and Continue
  7. Choose ‘Accounts’
  8. Click Save and Continue
  9. Upload CSV from exported file on your desktop
  10. Yes to Header Row
  11. Choose Individual
  12. Checkmark – Import all accounts without checking for duplicates
  13. Checkmark – Each row contains one account and one address
  14. Click Upload Data
  15. Select the correct Mapping (Personal Adoption, Assisted Adoption, Visiting Request, Volunteer or Temperament Assessment)
  16. Map any Unmapped data
  17. Click Continue to Import (verify completed)
  18. Click Accounts
  19. Open and review each account imported to ensure complete
  20. Click ‘edit’ (top right)
  21. Drop down type to selection as appropriate (e.g., 1st TA Request, Visiting Request, or Volunteer; Personal, Assisted, and/or Visiting) – For assisted and personal Adoption Applications, also select “Adoption Application Received”
  22. Doublecheck all data imported by reviewing against the application form (e.g., pronoun preference at bottom). E.g., ensure all applicable designations are showing under “please choose therapy dog type” (1 or 2 or 3 designations should be checked if it mapped properly, in accordance with the information on the application form.
  23. Save attached documents (e.g., resume or letter from healthcare provider or landlord) to desktop, then upload per the instructions above (“Add Notes, Upload Documents and add Pictures to a Contact”)

NOTE:  If First TA, go to Registrants Google Sheet and add to lists on Tab 1 and 2

NOTE2 – IF Visiting Request – Preventing Merging:   BEFORE importing, first look up the contact person in NEON to determine if there is another request by the same contact person. If there is, once the new request is imported, click the Find Duplicate button and mark as “not Duplicate” to prevent merging.
